Foundation First Inspections LLC ("Foundation First," "we," "us") is a licensed property inspection company operating in New York State. This policy explains what personal information we collect, why, who else sees it, and how to have it removed. It is written in plain language on purpose — if anything here is unclear, call or email and ask.
There are no forms on this website. We run no analytics of our own, we set no cookies, and we use no tracking pixels or advertising trackers. Browsing these pages does not create a record with us, and we cannot tell you apart from any other visitor.
Three things on the site are served by other companies, which means those companies see your IP address and browser information when the page loads:
We disclose that last one even though it is our host's and not ours, and even though it is performance data rather than personal data, because it is a third-party script running on a page you visited — and a privacy policy that quietly omitted it would be wrong.
When you book an inspection you provide your name, email address, phone number, the property address, and the type of service you want. That information is entered into Spectora, the inspection-management platform we use to run the business. We use it to confirm the appointment, prepare for the inspection, contact you about it, deliver your report, and invoice you.
Performing an inspection creates a record of the property: written observations, measurements, and a large number of photographs, including of the interior. Depending on the services ordered, it may also include radon measurements, air or surface samples for mold, indoor air quality readings, water and well-flow results, thermal images, and aerial photography of the property and its immediate surroundings.
This is information about a property, but it can also be information about the people who live there — the interior of a home, its contents, and its condition. We treat it accordingly and do not use it for anything other than producing and supporting your report.
We never sell your information, and we never share it for advertising. Nobody buys a list from us.
Your inspection report goes to you. We release it to anyone else — your real estate agent, the other party in a transaction, an attorney, a contractor — only when you tell us to, or when we are legally required to.
Radon, mold, indoor air quality and water testing involve independent laboratories that analyze the samples and validate the results. They receive the sample and the information needed to identify it, including the property address. The laboratory used for your testing is named in your final report — we may change laboratories over time, so we identify them there rather than listing them here where the list would go out of date.
We use a small number of companies to run the business, and they handle your information only to provide those services to us:

Microsoft 365, so correspondence with us is stored there.
We accept card payments through Spectora's built-in payment processing, and we accept Venmo, cash, and checks. We never see or store your full card number — card details go to Spectora's payment processor, not to us. If you pay by Venmo, that transaction is handled by Venmo under its own privacy policy, and we see only what Venmo shows us: that you paid, and the name on the account.
We will disclose information where the law requires it — a subpoena, a court order, or a request from the licensing authorities that regulate this work. We also report the quantity of radon tests performed to New York State on a semi-annual basis; that report is a count and does not identify clients or properties.
We keep inspection records and reports for at least the minimum retention period required by the New York State and NRPP rules that govern this work — home inspection, mold assessment, and radon measurement each carry their own requirement. Where those periods differ, the longest one applies to your file.
Archived records are stored in Google and Microsoft cloud storage. While held there they are also subject to those companies' own privacy terms — Google and Microsoft.
We do not create online accounts, so there is nothing for you to log into. To see what we hold about you, correct it, or ask us to delete it, email contact@foundationfirstinspections.com or call (518) 810-8283. We will confirm your identity before acting, since the information concerns a specific property.
Some information we cannot delete on request — inspection records we are required to retain, and records needed for tax or legal purposes. We will tell you plainly which is which rather than quietly keeping it.
This site is served over HTTPS. Inspection records live in Spectora, accessed with credentials held only by Foundation First. We are a single-inspector company: in practice the people who can see your report are you, whoever you asked us to send it to, and Jonathan Geist.
No system is perfectly secure, and we will not claim otherwise.
Our services are for property owners and buyers. We do not knowingly collect information from anyone under 18. Photographs taken during an inspection document the condition of a property, not its occupants.
If this policy changes we will update the effective date at the top. Material changes will be described here rather than slipped in silently.
